Terms & Conditions

By submitting your reservation, you are agreeing to the “Terms and Conditions”, whether by ticking the box online or verbally consenting over the phone or in an email.

Submitting your information is a contractual agreement between me (Vivian Levarek and Valkere Group) and the named person who booked online.
In return, we will reserve the accommodation, for specified days as requested for your reservation.

  • If you are unable to pay via Credit Card then we require a bank transfer within 2 days of making the booking.
  • If no payment is received within 5 working days, the accommodation will be released.
  • Once the monies have cleared, we will then send confirmation of your reservation.
 
You are required to provide a valid form of identification when booking.

Payment

Deposit: A deposit of half of the reservation balance is due upon booking, payable by Credit Card using Stripe.

Balance Due: The remaining balance is due to arrive in our account at least 30 days before arrival date is payable by Credit Card using Stripe.

If the booking is made last minute (i.e. 1 week prior to arrival) then we will take the 50% via PayPal then immediately send an invoice for remaining balance.

Security Deposit: During the booking process, you will be given the choice between paying a refundable deposit or buying a non-refundable damage waiver.
We suggest you buy the damage waiver as this protects you in case you cause accidental damage during a booking.

Changes to Dates / Cancellation

Changes to Dates

In the event that you would like to change the dates of your booking, we will endeavor to
accommodate you without any additional administration charges.
**If changing due to Government Travel Restrictions, your dates can be changed with no additional costs incurred**.

Changes to dates in higher nightly rental periods will be subject to the higher rental charge.

Changes to dates in lower nightly rate periods made within 6 (six) weeks of the start of the rental period, will only be subject to the lower charge if we can re-let the initial higher rate period.

Cancellation by You

We advise that you take out travel insurance to cover against an unexpected cancellation.

Insurance for Covid19 cover is now available.
We do not offer refunds due to weather and strongly recommend travel insurance for unforeseen weather or life events.

Cancellation must be made by email to: info@vacationsbyvalkere.com by the party who made the original booking.

Cancellation charges are as follows :-

  • If you cancel more than 14 days prior to arrival – any payments made will be refunded in full.
  • If you cancel within 14 days prior to your arrival – then a 50% refund will be issued.
  • Any changes or cancellations made within 72 hours of arrival will result in a full 100% charge for room, taxes, and fees.
  • If you as the guest decides to cancel, you will be required to pay the processing fee.  This is regardless of when you cancel

 

Cancellation by Us

We do not expect to have to make any changes to your booking. However, problems can occur that would result in us having to make an alteration or, very occasionally, cancel a booking.

If this does happen, we will contact you as soon as is reasonably practical and inform you of the cancellation or the change to your booking.

We would offer a change of date with No Additional Cost to you. If it is necessary to cancel your booking any payments made will be refunded in full.

Liability

We do not accept any liability for any damage, loss or injury to any member of your party, your vehicles or your possessions unless proven to be due to negligence by ourselves.

Arrivals/Departures

Arrival

Standard Check-in is anytime after 4pm.

Prior to your arrival you are required to complete and return our Registration/Booking form and notify us of your anticipated arrival time, updating us should that change.

I will send you a personalized door code one hour prior to your check-in time to unlock the door.

Departure

Check-out is anytime prior to 10am.

We will always try to accommodate arrivals/departures outside of these times if our schedule permits.

Any unauthorized late arrivals/departures subject to a charge.

If your room has not been vacated by 11 am on your departure date, you may be charged a late check-out fee equivalent to a half-day’s room and tax; check-outs past 2 pm may be subject to a full night’s room and tax – unless previously discussed as being ok.

The evening before your departure we will send you a short list of check-out instructions.

Early Check-in / Late Check-out

Early check-in time of 3pm is only available to guests who Book Direct.
Late Check-out is anytime prior to 11am.
These extended times are only available to guests who Book Direct.
If you require am early check-in or  late check-out, this may be possible, but please contact us in advance.

These are both dependent on our booking and cleaning schedule and may not always be available.

Lost Property

We are happy to return items that have been left following departure. However, there will be a minimum charge of $10 plus postage and packing.

Smoking

Our properties are 100% smoke-free and we do not allow cigarette smoke or any other vapor-producing product in our homes.

If there is physical evidence, smell of smoke, or other smoke-producing products found in any room during your stay or after check out, you will be liable for a $250 penalty fee. This confirms that you have read and understood the homes’ 100% smoke-free policy. Additional fines may be imposed on you by the local authorities should the fire alarm be triggered from your home.

Damages

You will be held liable for any items missing from the property after your departure.
You will be held personally liable for any damage to the room and charges incurred thereafter.

Pet Fee

Only applicable for pet-friendly properties. (Desert Rose Retreat)
We charge a refundable deposit of $200 per pet. This will be refunded after we finish cleaning the property at the end of your visit. Some of your deposit might be held back if any pet-related damage is found.
We charge $35 non-refundable pet fee per night/per pet  fee (2 dogs max allowed.)

Pet Rules

At the moment, we only permit 2 dogs.
We are requesting the pet not to get on the couch or bed as it’s extremely difficult to remove pet hair.
Do NOT leave your dog at the cabin unattended.
Guests must pick up dog waste in a doggy poop bag and dispose of it in an outdoor trash can.
Please report any accidents so I can ensure they are cleaned up properly and to not encourage future guests’ dogs to pee there.

Key Policy

In the event that the smart lock fails, a lockbox code will be issued.

Failure to return the key, or lost and misplaced keys, will result in a $75 replacement fee.

Waiver of Liability for Hot Tub

This is only applicable to our hot tub properties.

The guest understands that there are special risks involved in the use of a hot tub.
Guest is aware there are potential dangers to children who are not carefully supervised, as well as any person using the hot tub too long or if a person has health risks, is intoxicated, using any kind of drugs or medication, or is pregnant.
Guest agrees to waive any claim whatsoever against the Owner of the property for accidents or injury arising from the use of the hot tub.
Guest agrees that he/she is responsible and liable for any damages that occur to the hot tub through their or their guest’s misuse or negligence.
Should the Guest or Guest’s guests contaminate the water with sand or suntan lotion by not abiding by the rules, the guest agrees to an additional charge of $300.00 to cover the cost to drain, clean, and refill the tub and remediate the contamination to the filtering system.
In consideration of your anticipated stay, you agree, intending to be legally bound hereby, that the property owners and their heirs, servants, agents, contractors, and employees shall not be liable for your injury or death, or the injury or death of your invited guests.
By booking the stay with us you are agreeing with the terms and conditions stated in the Waiver of Liability.

Guest Verification

Important: We are committed to protecting our properties which is why we’ve partnered with Know Your Guest, the leading vacation rental guest-screening provider.

Please note that before your booking begins, you will need to verify your details through Know Your Guest.

You will also be given the choice between paying a refundable deposit or buying a non-refundable damage waiver.
We suggest you buy the damage waiver as this protects you in case you cause accidental damage during a booking.

Frequently Asked Questions

When you book direct with us, you pay less with no third-party booking fees.

Plus early check in and late check out where our calendar permits.

We understand that things happen and you may not get to stay with us due to unforeseen circumstances.

However, our cancellation policy for Standard Rates is as follows:

For any changes or cancellations made less than fourteen(14) days in advance, you will be only refunded 50% of the total payment.

Any changes or cancellations made within 72 hours prior to arrival will result in a full 100% charge for room, taxes, and fees.

We allow pets on these properties: Desert Rose Retreat

You will be asked to pay for your stay at the end of the booking process using a Credit Card via Stripe.

You will need to contact us if you cannot pay via Credit Card and wish to pay via Bank Transfer.

A deposit of 50% of the rental cost is required – and that’s it, you’re booked.

The balance is due no later than 30 days prior to arrival.

Yes, all of our properties have Wi-Fi and Wi-Fi extenders.
Yes! We have physical guidebooks in each home & we provide links so that you can access our digital guidebook on your mobile or computer.
We provide pack n plays, high chairs, booster seats, kids silverware & dishes & we also have names of reputable companies that you can rent these items from if you are needing more than what we provide.

Our property Desert Rose Retreat is accessible – while not specially adapted for disabled use, there is:

  • Wheelchair/scooter access from the car park and main entrance via the ramp
  • Smooth, flat floors throughout

Notes:

  • One of the bedrooms has a door that is accessible width.
  • There are no grab rails in the shower or over the bath.
